BASIC PURPOSE
The purpose of this position is to provide administrative and clerical support to the Corps Officer(s) and Business Administrator to ensure the efficiency of Corps operations. This position will work directly with personnel and volunteers, community partners, vendors, and clients, while providing assistance with accounts receivable/payable, statistics, social services, and other support as needed. This position will also assist with all aspects of planning, organization, and implementation, as it pertains to regular, seasonal, and special events. This position will be the primary liaison to Divisional Headquarter department's.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for retrieving from the O. Box and receiving at the physical address, all mail for the organization to be opened with another staff member and sorted for distribution to appropriate departments for follow up.
- Responsible for Corps bookkeeping procedures, ensuring the proper processing/depositing of funds Utilize Finance Web to process and submit Corps invoices for payment.
- Produce and process all correspondence, including but not limited to letters, email, cards, mail merge and mass mailings as
- Give oversight to, process, and track all new hire paperwork and orientation
- Post and maintain HR updates for employees in office equipment
- Maintain documentation for both employees and volunteers with Decision Driving, Protect the Mission, Sexual Harassment Prevention, and other trainings as required by Divisional
- Manage and maintain volunteer files. Work in coordination with the Corps Officer{s) and/or Volunteer Coordinator regarding volunteer recruitment, training, and
- Manage and maintain office files and record keeping, including mileage logs, vendor files, HR related paperwork for employees, Confidentiality when handling these documents and information is required.
- Works with Officer(s) and Business Administrator to prepare for
- Maintain up-to-date files per Salvation Army policies and
- Track all employee sick days and vacation
- Ensure that the Social Service office Is running smoothly and that the phones are answered in a timely
- Assist with any special Social Services Programs such as Back-to-School, Thanksgiving, Christmas,
- Manage and maintain office supplies and equipment, communicating any needed repairs or restocking to the Corps Officer(s) for purchase approval as
- In coordination with each department, develop and maintain an office, corps, and community triannual
- Support the preparation, communication of, and implementation of events and projects, associated with the Corps, Advisory Board, and/or Community This could include attending and documenting meetings for such events and projects as directed by the Corps Officer(s).
- Input statistics received from various corps and social service departments into Turbo Stats

- Take Minutes at all staff meetings, have each staff member sign the original typed minutes and distribute a copy to all staff and Corps Officer(s).
- Maintain donor database and print monthly reports to give to Advisory Board members and Corps Officer(s).

- Create flyers and email blast to our donors informing them of special Corps

CERTIFICATES, LICENSES, REGISTRATIONS
- Must possess a valid California Class C Driver License (or better). and ability to drive a Salvation Army vehicle
- Must be 21 years or older.
- Authorize The Salvation Army to add name to the CA OMV Pun Notice Program
- Complete The Salvation Army vehicle course
PHYSICAL REQUIREMENTS:
- This position requires the employee to be physically active and may require the employee to stand for up to 2 hours or more at a time; must be able to walk, run, and reach and grasp with hands and arms.
